Audit Trail

Every change in Laboperator is tracked and time-stamped. The Audit Trail logs show therefore any activity made by users or the system itself. Currently, two different versions of an Audit Trail are available in Laboperator. 

 

View the Audit Trail


To open the Audit trail, please follow the steps below:



1. In the navigation menu located on the left side, click on More.



2. Click on Audit Trail. 




3. In the center, you see the Audit trail with the latest activities at the top.

  1. At the top left, you are able to search through the Audit Trail by entering a description, user, or attribute message (see Filter and visibility options). 
  2. On the first column of the overview, you find the unique ID of the entry.
  3. In the third column, you find the name of the user who is responsible for the event described in (d). When an automatic change happens within the system, the System is mentioned as a user.
  4. Here you find a short description of the event. 
  5. Under Attributes, you can find any abnormal behavior within your Audit Trail. The system differs between Change Reason (gray speech bubble), Warning (yellow caution sign), and Error (black exclamation mark).
  6. Under Timestamp, you can find the exact date and time of the event. By using the arrow next to Timestamp, at the top, you have the opportunity to sort all entries ascending or decreasing depending on the Timestamp.
  7. By clicking on the Resource ID, you will be able to access all Records for this specific Resource.
  8. Use the downward pointing arrow to see more details.
  9. Use the filter symbol on the right side to open the Filter Settings.
  10. Here you can find the Saved Filters




Filter and visibility options


To filter in the new Audit trail, please follow the steps below:

1. Navigate to More in the navigation menu.



2. Click on Audit Trail. 



3. You have several options to filter or change the view of the audit trail:

  1. Use the filter symbol on the right side to open the Filter settings.
  2. Choose the User Type you want to search for. The system differs here between Events caused by a real User and changes automatically made by the System.
  3. Enter an email address if you want to search for a specific User.
  4. Enter the date range you want to filter for. 
  5. Select the Event type you want to filter for.
  6. In the drop-down menu choose an Attribute you want to search for. Attributes describe any abnormal behavior within your Audit Trail. The system differs between Change Reason (gray speech bubble), Warning (yellow caution sign), and Error (black exclamation mark). 
  7. Click the Saved Filters icon to open the list of filters you have saved based on your settings of choice.
  8. Click the Export button to export the event(s) you have selected. You can choose the file format to be used for the export (PDF, CSV or Excel).





Review change reason attribute



With audit trail you can review the change reason attribute in a Workflow Run. Note: this can be possible only if the Workflow Template from where that Workflow Run started contains a Change Reason field. 


In the Filters Settings menu of the Audit Trail:


  1. You can see the name of the user that made the change.
  2. The reason for the change given by the user.
  3. The value of the field before the change (in red) and the value of the field after the change (in green) are shown.
  4. The timestamp of the change is included.
  5. The Resource ID of the Workflow Run is shown.
